About the Vocalis SMS Program
Vocalis is an AI voice receptionist platform used by medical, dental, and service clinics to manage patient communication. As part of this service, clinics may send SMS messages to their patients through Vocalis to confirm appointments, send reminders, and provide follow-up information.
This page describes how patients opt in, what messages to expect, and how to opt out.
How Patients Opt In
Patients provide consent to receive SMS messages from a clinic in one of three ways:
- Web booking form. When scheduling an appointment online through a clinic's Vocalis-powered booking page, patients enter their phone number and check a required box with the following disclosure:
“I agree to receive SMS appointment reminders and confirmations from [Clinic Name] via the Vocalis platform. Message frequency varies. Message and data rates may apply. Reply STOP to opt out, HELP for help. See SMS Terms and Privacy Policy.”
- Phone booking with the AI agent. When booking by phone, the Vocalis AI agent reads a verbal disclosure before collecting the phone number: “We'll send you appointment reminders by text. Message and data rates may apply. You can reply STOP at any time to opt out. Is that okay?” The patient's verbal yes is logged with a timestamp.
- In-person at the clinic. Clinic staff may collect consent in person using a printed or digital consent form bearing the same disclosure language as the web form.
Consent is not a condition of any purchase or medical service. Patients may decline SMS and still receive appointments and care.
What Messages to Expect
Patients receive transactional SMS messages from the clinic, including:
- Appointment confirmations: sent shortly after booking
- Appointment reminders: typically 24–48 hours before the appointment, and optionally on the day of
- Follow-up messages: post-visit instructions, lab results notifications (where applicable), or rebooking prompts
Message frequency varies based on appointment activity. A typical patient may receive 2–4 messages per appointment.
